Student Privacy Policy

Safety Systems Pty Ltd takes the privacy of participants seriously and complies with all legislative requirements. These include the Australian Privacy Principles set out in the Privacy Amendment (Enhancing Privacy Protection) Act 2012 and the Privacy Act 1988. Collection, use and disclosure of personal information Safety Systems Pty Ltd will only collect personal information by fair and lawful means which is necessary for the functions of the Registered Training Organisation, RTO, and is committed to ensuring the confidentiality and security of the information provided to us.

This information includes personal and contact details, program enrolment details, Information regarding students is typically collected on the Student Enrolment form. This information is stored both electronically and in hard copy in our student database and our student archives.

We are required by the Australian VET Framework to make student information available to the National Centre for Vocational Education and Research under the National VET provider collection data requirements policy. If an individual chooses not to give Safety Systems Pty Ltd certain information then we may not be unable to enrol the individual in a program or supply them with appropriate information.

All Safety Systems Pty Ltd staff are bound by a confidentiality agreement and will not disclose an individual’s personal information to another person or organisation unless:

  • The individual concerned is reasonably likely to have been aware, or made aware that information of that kind is usually passed to that person or organisation;
  • The individual concerned has given written consent to the disclosure;
  • Safety Systems Pty Ltd believes on reasonable grounds that the disclosure is necessary to prevent or lessen a serious and imminent threat to the life or health of the individual concerned or of another person;
  • The disclosure is required or authorised by or under law.

Right to access and correct records

Individuals have the right to access or obtain a copy of the personal information that Safety Systems Pty Ltd holds about them.  Requests to access or obtain a copy of personal information must be made in writing. There is no charge for an individual to access personal information that Safety Systems Pty Ltd holds about them; however we may charge a fee to make a copy.

Individuals will be advised of how they may access or obtain a copy of their personal information and any applicable fees within 10 days of receiving their written request.  If an individual considers their personal information to be incorrect, incomplete, out of date or misleading, they can request that the information be amended. Where a record is found to be inaccurate, a correction will be made. Where an individual requests that a record be amended because it is inaccurate but the record is found to be accurate, the details of the request for amendment will be noted on the record.

Overview of Safety Systems Services

Access and equity is about making sure that everyone can access the training, information and support they need to successfully participate in courses offered through Safety Systems. Safety Systems is aware that it can be more challenging for some participants to take part in training than others. Some participants may have additional needs and require assistance to complete training, they may need extra support to stay in training, they may need training tailored to meet their needs, or the training may need to be delivered and assessed to accommodate their individual needs, ensuring industry standards regarding competency are met. If you believe you may have additional needs please contact the Training Manager.

1. Course Information
All Course information including content and vocational outcomes can be viewed on our website (www.safetysystems.net.au) or by calling our office on 03 5442 5449 and asking for course information to be sent to you.

2. Participant Selection, Enrolment and Induction/Orientation
To be accepted into a course, you will complete an application for enrolment form, fulfil the prerequisites (if applicable) and pay the relevant fees. Once the enrolment fee has been accepted you officially have a place in the course. A notice of confirmation will be sent following payment and return of your application for enrolment. Your induction/orientation will occur during the first session of training.

3. Fees, Charges and Refund Policies
Safety Systems reserves the right to cancel/postpone a course in the event of unforseen circumstances or insufficient numbers. Every effort will be made to ensure that participants of cancelled/postponed courses receive placement in the next available course. Where a course is cancelled/postponed by Safety Systems and the participant elects not to receive placement in the next available course, or an alternative course, a full refund will be made. Written cancellation must be received up to two working days prior to the commencement of the course. Written advice should be directed to the Training Manager. The participant will be refunded the course fee less an administration fee of $50.
It is regretted that NO REFUND can be made for cancellations received within two working days of commencement or after the commencement of the course. No refunds will be given for partial cancellation of enrolments. A transfer of course registration can be made up to two working days prior to commencement of the course. Advice must be in writing and directed to the Training Manager.

4. Language, Literacy and Numeracy (LLN)
Access to training must be equal for all participants and Safety Systems will not discriminate based upon LLN. Where LLN levels are low, Safety Systems will provide information on where the participant can obtain assistance.

5. Client Support, Welfare and Guidance Services
Safety Systems will help participants access support, welfare or guidance services when an issue arises that is outside the expertise of Safety Systems staff. Any referral made in this instance will be in accordance with our privacy policy that aims to protect the interests of all parties including the participant.

6. Flexible Learning and Assessment
Safety Systems recognises that some participants may have individual needs that affect the process of learning and assessment. When a student has requested an alternative method of learning and/or assessment, the Training Manager will consider the request and advise the trainee in writing of the outcome. Any variation to the usual delivery or assessment strategy will be incorporated into the trainee’s file.

7. Appeals, Complaints and Grievances
Safety Systems encourages participants to initially raise any concerns or complaints directly with the person concerned. This is appropriate in matters where the participant feels comfortable making a direct approach, or where the complaint does not relate to allegations of unlawful behaviour (e.g. assault, illegal discrimination or harassment). If you have discussed the issue directly with the person involved and are still not satisfied with the outcome, you should write to the Training Manager and outline the reason for the appeal, complaint or grievance.

8. Discipline
Participants are expected to dress and act in an appropriate manner whilst attending Safety Systems training sessions. This means respecting and being courteous towards other people and not using offensive language or making derogatory comments towards or in the presence of others. Incidents of serious misconduct will result in exclusion from training and will be dealt with in accordance with relevant State or Commonwealth law. Serious misconduct means theft, assault, being under the influence of alcohol or drugs, or causing risk of injury or risk of a dangerous event happening.

9. Privacy
Information you provide to Safety Systems on your enrolment form will be entered into our database for the purpose of processing your enrolment, registration and payments. Safety Systems collects information for the purpose of operating as a RTO (Registered Training organisation) under the AQTF (Australian Quality Training Framework) that is administered by the Victorian Government VRQA (Victorian Registrations and qualifications Authority). Safety Systems may be required to provide information collected during annual audits. Participants are able to access their records by contacting the Training Manager.
